IGC-L12: Errors and Suspense Account
When the Trial Balance does not agree — identify the error, correct it, and restore accounting accuracy.
Learning Objectives
- Identify different types of accounting errors
- Distinguish between errors that affect and do not affect Trial Balance totals
- Apply correct debit and credit logic in corrections
- Prepare and clear a Suspense Account
- Interpret any remaining Suspense balance
- Attempt full structured examination questions confidently
Concept Framework
A. Why Errors Occur
Errors may arise due to:
Omission
Incorrect posting
Transposition of figures
Posting to the wrong side
Misclassification
Double posting
Even when the Trial Balance agrees, errors may still exist.
B. Errors That Affect Trial Balance Agreement
These cause debit and credit totals to differ.
Examples:
Entry made on one side only
Unequal posting
Arithmetic error
Entry posted to wrong side
When this occurs:
A Suspense Account is opened to temporarily balance the Trial Balance.
C. Errors That Do NOT Affect Trial Balance
The Trial Balance agrees, but accounts are incorrect.
Common types:
Error of Omission
Error of Commission
Error of Principle
Compensating Error
Complete Reversal
These are corrected through journal entries only — no Suspense involvement.
D. Suspense Account Rule
If Debit Total > Credit Total → Credit Suspense
If Credit Total > Debit Total → Debit Suspense
After all corrections:
Suspense Account must close to ZERO.
If a balance remains → further errors exist.
Worked Examples
Example 1 – Opening Suspense
Trial Balance totals:
Debit = £48,920
Credit = £48,500
Difference = £420 (Debit excess)
Entry:
Example 2 – One-Sided Posting
Purchases £800 posted only to Purchases Account.
Correction:
Cr Payables £800
Example 3 – Error of Principle
Repairs £1,200 debited to Machinery.
Correction:
Cr Machinery £1,200
(No Suspense involved.)
