A2-L01 — Incomplete Records & Single Entry Systems
Understanding how businesses prepare financial information from incomplete accounting records.
Learning Objectives
By the end of this lesson students should be able to:
• understand incomplete records systems
• distinguish between single entry and double entry systems
• calculate missing accounting figures
• prepare statements from incomplete records
• answer examination-style questions
Concept Framework
What are Incomplete Records?
Incomplete records occur when a business does not maintain a full double entry accounting system.
Financial statements must therefore be prepared using limited accounting information.
Single Entry System
A single entry system records only partial accounting information.
Commonly recorded items include:
• cash transactions
• receivables
• payables
CORE RULES
| Item | Treatment |
|---|---|
| Opening Capital | Starting owner investment |
| Closing Capital | Ending owner investment |
| Profit Calculation | Increase in capital adjusted for drawings and additional capital |
| Drawings | Deducted from capital |
| Additional Capital | Added to capital |
TRANSACTION LOGIC
Incomplete record systems do not provide complete ledger information.
Accountants therefore use accounting relationships and control accounts to calculate missing figures.
Capital comparisons are commonly used to determine profit.
Worked Examples
Example 1 — Profit Calculation
Opening Capital = £20,000
Closing Capital = £28,000
Drawings = £4,000
Additional Capital = £2,000
Profit:
£28,000 − £20,000 + £4,000 − £2,000
= £10,000
Example 2 — Missing Credit Sales
Opening Receivables £3,000
Credit Sales ?
Cash Received £18,000
Closing Receivables £5,000
Credit Sales:
£18,000 + £5,000 − £3,000
= £20,000
Example 3 — Missing Purchases
Opening Payables £4,000
Payments to Suppliers £12,000
Closing Payables £6,000
Credit Purchases:
£12,000 + £6,000 − £4,000
= £14,000
